The District of Sault Ste. Marie Social Services Administration Board is searching for an Administrative Assistant of Corporate Services to join our team based in Sault Ste. Marie.

The role of the Administrative Assistant of Corporate Services is to administer the day-to-day tasks for Corporate Services (hereinafter referred to as “CS”) by performing the principal activities associated within the scope of CS accountability and general administration.

Key duties and responsibilities include:

• Maintain office facility, in conjunction with the Executive Assistant to the Chief Executive Officer; liaise with service providers;
• Establish, maintain and audit administrative processes to provide effective support, including e-filing, document filing, drafting correspondence, answering the telephone and responding to telephone and email inquiries;
• Prepare correspondence, reports and other documents, ensuring accuracy in all work and proper distribution and follow-up for action, as required;
• Communicate and liaise with outside agencies, various levels of Government, the public and other departments in an effort to gain departmental and operational efficiencies;
• Conduct program related research through the engagement of various Government agencies and internet searches;
• Provides administrative support with regards to Attendance Management and Labour Relations
• Establish self as first point of contact for staff relating to general CS inquiries and CS programs administration;
• Act as system administrator for the CS specific software.
• Schedule and assist in the planning of regular meetings, happenings and periodic special events;
• Ensure policies and procedures are accurately followed, as well as adherence to all professional and provincial and federal regulations and requirements;
• Adherence to the Occupational Health and Safety Act, local policies and practices relating to a healthy workplace.

The ideal candidate will have effective communication skills, with the ability to use tact and diplomacy at all times, the ability to interpret procedures, policies and Government correspondence, advanced knowledge of computerized processes and applications, advanced time management and organizational skills as well as general knowledge of MS Office suite, including Outlook, Word, Excel and PowerPoint.

Additional qualifications for this position include:

• College diploma in Business Administration or related field
• Two (2) years of experience performing senior level administrative functions in a professional public service setting
• Ability to communicate in both official languages is considered an asset

Salary Range: $54,849 – $65,312
